How to Forward a Google Calendar Invite
Learn when you can forward a Google Calendar invite, what happens to the recipient, and when adding a guest is the better option.

You can forward a Google Calendar invitation email only when the event organizer allows guests to invite others. But forwarding is not the same as quietly sharing a time: the recipient can receive the event details, respond to the invitation, and become part of the guest list.
If you are the organizer, adding the person directly is usually the cleaner choice. If you are not, treat forwarding as a permission-aware handoff rather than a workaround.
Forward, add, or just share the details?
Choose the path that matches what you want to happen next:
- Add a guest when you organize the event and want the person on the official guest list.
- Forward the invitation email when the organizer has allowed guests to invite others and the recipient should be able to respond.
- Share only the time or location manually when someone needs context but should not become an event guest.
How to forward a Google Calendar invite
Start with the invitation email you received. If the organizer has given guests permission to invite others, you can forward that email to the new recipient. Google explains that the recipient can get the updated meeting details and reply to the event. Read Google’s invitation guidance.
Before sending it, check the event title, guest list, video link, and notes. Calendar invitations often contain more information than a simple time slot.
Why Google may not let you forward it
The organizer controls whether guests can invite other people. If that permission is turned off, ask the organizer to add the person instead of sending a copy of the invitation.
For organizers, Google Calendar’s event editor includes a Guests area where you can add an email address directly. It also lets you control whether guests may invite others. See Google’s organizer instructions.
What happens after you forward an invite
A forwarded invitation makes the recipient a real participant, not just an observer. They can reply Yes, No, or Maybe. When a new guest responds, Google adds them to the event’s guest list. Depending on the organizer’s settings, they may also be able to invite other people.
If you are the organizer, add guests instead
Adding a guest from the event is the more deliberate route. Open the event in Google Calendar, choose Edit, add the person in Guests, then save and send the update. Everyone sees the same guest list and the organizer remains in control of permissions.
Check the event before you pass it on
On a busy Mac desktop, it helps to have the guest list, RSVP status, and meeting link visible beside the rest of your week. Hora keeps Google Calendar event details close to your schedule, but it does not override Google’s guest permissions. Use Google Calendar’s Add guests route whenever the organizer needs to control attendance.
If you want that event context in a dedicated desktop client, see our guide to choosing a Google Calendar app for Mac.
Frequently asked questions
Can I forward a Google Calendar invite?
Yes, if the organizer has allowed guests to invite others. If that permission is off, ask the organizer to add the person directly.
Does forwarding an invitation add someone to the event?
The forwarded recipient can respond to the invitation. When a new guest responds, Google adds them to the event’s guest list.
Why can’t I forward a Google Calendar invite?
The organizer may have disabled the permission that lets guests invite other people. The appropriate next step is to ask them to add the guest.
How do I stop guests from forwarding an invite?
As the organizer, edit the event and turn off the guest permission to invite others. This keeps additions to the guest list under your control.
